Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; assist in office management and administrative duties

Duties and responsibilities
Receptionist duties as follows:

Managing Visitors:
• Welcomes visitors by greeting them with a positive and helpful attitude.
• Inform employees of visitor’s arrival and helping to maintain workplace security by issuing and collecting visitor’s pass and monitoring logbook.

Answering Calls and Enquiries:
• Answering phones in a professional manner, screening and forwarding calls and taking messages as necessary.
• Assisting and attending to enquiries, in person or on the telephone, with excellent customer service and telephone etiquette.

Meeting room management and cleanliness:
• Maintaining meeting room, ensure all stationeries are in place and well equipped daily.
• Maintains safe and clean reception area by complying with procedures, rules and regulations.

Sorting and distributing mails and parcel:
• Receiving parcel, record all incoming mails/parcels and distribute to the recipient.
• Collect mail/letters at the mail room on daily basis and distribute the incoming mails.

Administrative and clerical duties:

Assisting HR and Admin matters:
• Assist in interview coordination by ensuring candidate complete the relevant documents before interview session.
• Assist in preparing documents for new hires on their first reporting day.
• Managing office supplies such as stationery, equipment and issuing stationery for new hires.
• Prepare monthly mobile report, registration and termination.
• Manage BInfinite card registration, termination and distribution.
• Manage parking administration, payment and termination.
• Manage test kits distribution and utilization report.
• Assist in compiling monthly management report.
• Assist in compiling and filing of HR documents.
• Undertake ad-hoc assignments as and when required.
